Real problems, real solutions

Every business is different. Here are a few examples of what we've built — and the difference it made.

From 3-Hour Admin to 15 Minutes: Automating a Plumbing Business

The Problem

A Johannesburg plumbing company was losing leads because follow-ups lived in a Google Sheet that nobody had time to check. Enquiries came in through their website form, but the owner was on site all day and couldn't respond quickly. Leads went cold. They estimated they were losing 2–3 jobs a month — roughly R25,000 in revenue — purely to slow response times.

What We Built

We built an automation workflow that watches their website form. When a new enquiry comes in, it instantly sends a WhatsApp message to the owner with the customer's name, location, and job description. It also creates a contact in their CRM and starts a 3-step follow-up sequence: Day 0 WhatsApp greeting, Day 1 email quote, Day 3 WhatsApp check-in. If the lead replies at any point, the sequence stops and the owner gets an alert.

The Result

Response time dropped from 4–6 hours to under 2 minutes. The owner now closes leads from site, between jobs, without touching a spreadsheet. They recovered an estimated R30,000 in the first two months from leads that would have gone cold under the old system.

A Custom Job Tracker That Replaced 4 Spreadsheets

The Problem

A medium-sized electrical contractor was running their entire operation on four interconnected Google Sheets: one for job scheduling, one for materials, one for invoicing, and one for technician hours. The sheets didn't talk to each other. Every week, the office manager spent 3 hours manually reconciling data across them. Mistakes were common — a job would be marked complete in one sheet but still show as pending in another. Invoices went out late because nobody knew a job was finished.

What We Built

We built a custom web app — a single dashboard that replaced all four sheets. The office manager creates a job, assigns a technician, adds materials, and the system tracks everything in one place. When a technician marks a job complete on their phone, the office manager sees it instantly. The system auto-generates an invoice from the materials list and job hours. Everything is searchable, filterable, and backed up.

The Result

The 3-hour weekly reconciliation disappeared. Invoicing went from 5–7 days after job completion to same-day. The owner can now see — in real time — which jobs are in progress, which are complete, and which are waiting on materials. They've since added a client portal so their customers can log in and see job status themselves.

WhatsApp Ordering System for a Food Business

The Problem

A Cape Town catering company was taking orders entirely through personal WhatsApp. Customers would message at all hours — 11pm, Sunday morning, during loadshedding. The owner was manually typing out menus, calculating totals, and sending bank details for EFT payments. During busy periods (December, Easter), they'd wake up to 40+ unread messages. They were losing orders because they simply couldn't respond fast enough.

What We Built

We built a WhatsApp AI bot that handles the entire ordering process. A customer messages the business's existing WhatsApp number. The bot sends the menu, takes the order, calculates the total, and generates a Paystack payment link — all automatically. Once payment is confirmed, the order appears in a dashboard the kitchen staff can see. The owner gets a notification only when an order is paid and ready to prepare.

The Result

The business now takes orders 24/7 without the owner touching their phone. Average order value increased because the bot consistently upsells ("Would you like to add drinks?"). During the December rush, they processed 3× their normal volume without hiring extra admin staff. The owner said: 'I actually slept through Christmas Eve this year.'

Client Portal for an Accounting Firm

The Problem

A small accounting firm in Durban was managing 80+ clients through email and WhatsApp. Clients would send documents as attachments. The accountants would ask for missing documents. Clients would send the wrong ones. Every tax season was chaos — the team spent more time chasing documents than doing actual accounting work. They had no way to see, at a glance, which clients had submitted everything and which were still outstanding.

What We Built

We built a secure client portal where each client logs in and sees exactly what documents are needed, what's been submitted, and what's still outstanding — with deadlines. The accountants see a dashboard of all clients, colour-coded by status. The system sends automatic reminders 7 days, 3 days, and 1 day before each deadline. Documents are stored securely and organised by tax year.

The Result

Document chasing dropped by an estimated 80%. The firm now onboards new clients in under 10 minutes (down from 45). During the most recent tax season, they filed 94% of returns before the deadline — up from roughly 70% the year before. The portal has become a selling point for new clients: 'You'll always know exactly what we need from you.'
